SalonAI — Privacy Policy

1. Who we are

SalonAI ("SalonAI," "we," "us," or "our") provides an AI-powered assistant for hair and beauty salons, accessible via WhatsApp and the web.

This Privacy Policy explains what information we collect, how we use it, and the choices you have.

2. Information we collect

  • Salon account information: business name, contact details, services, staff, and working hours, provided by the salon owner.
  • Customer conversation data: messages exchanged between a customer and the SalonAI assistant (via WhatsApp or web chat), including the content needed to answer questions, manage bookings, and generate replies.
  • Google Business Profile data (only for salons that connect their Google account): your business's reviews (review text, star rating, reviewer name as shown publicly on Google, review date, and your existing replies, if any).
  • Usage data: basic technical information (e.g. timestamps, message volume) used to operate the service and enforce plan limits.

We do not collect more Google data than is needed for the features described below, and we do not collect data from Google accounts that have not explicitly connected to SalonAI.

3. How we use your information

  • To operate the AI assistant: understanding and responding to customer messages, in the language the customer used.
  • To manage and display your Google Business reviews inside SalonAI, and — only with your explicit, per-reply approval — to publish a reply to a review on your behalf via the Google Business Profile API.
  • To generate customer-growth suggestions (e.g. campaign ideas) based on your own salon's customer and appointment data.
  • To enforce your subscription plan's usage limits and feature access.
  • To improve the reliability and safety of the service (e.g. diagnosing errors).

We do not use your data to train third-party AI models beyond what is strictly necessary to generate a response to you in real time, and we do not sell your data or your customers' data to third parties.

4. Use of Google user data

SalonAI's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically:

  • We only request the minimum Google Business Profile access needed to read your reviews and, with your approval, publish replies to them.
  • We do not use Google user data for advertising purposes.
  • We do not allow humans to read Google user data except: (a) with your explicit consent for a specific support request, (b) for security purposes (e.g. investigating abuse), (c) to comply with applicable law, or (d) where the data has been aggregated and anonymized.
  • You can disconnect your Google account from SalonAI at any time, which immediately revokes SalonAI's access to your Google Business Profile data. [Describe exactly where/how in the product once the disconnect flow is built.]

5. AI processing

SalonAI uses third-party AI providers (including OpenAI) to generate responses, draft review replies, and classify content (e.g. review urgency). Relevant text (such as a customer's message or a review's text) is sent to these providers solely to generate that specific response; it is not used by us to build a marketing profile of you or your customers.

6. Data sharing

We share data only with:

  • Service providers that help us operate SalonAI (e.g. hosting, database, AI providers, WhatsApp Business Platform), bound by confidentiality obligations.
  • Google, solely to read and (with your approval) reply to your Business Profile reviews, as described above.
  • Authorities, only where required by law.

We do not sell personal data.

7. Data retention

We retain conversation and review data for as long as your salon's account is active, plus a reasonable period afterward for legal and operational purposes, after which it is deleted or anonymized. [Fill in specific retention periods once finalized internally.]

8. Your rights

Depending on your location, you may have the right to access, correct, export, or delete your personal data, and to object to or restrict certain processing. To exercise these rights, contact info@technovaeurope.com. If you are in the EU/EEA/UK, you also have the right to lodge a complaint with your local data protection authority.

9. Security

We use industry-standard technical and organizational measures (encryption in transit, access controls, and similar safeguards) to protect your data. No system is 100% secure, and we continuously work to improve our safeguards.

10. Children's privacy

SalonAI is a business tool intended for salon owners, staff, and their adult customers. It is not directed at children, and we do not knowingly collect personal data from children.

11. Changes to this policy

We may update this Privacy Policy from time to time. Material changes will be posted on this page with an updated "Last updated" date.
